Overview

The role of the Program Associate is to support the Rock Health Managing Director and Program Manager in the development and delivery of Rock Health’s educational events.

Rock Health annually hosts thousands of people at its innovative events, cultivating a vibrant digital health community and creating educational content and experiences. The Program Associate will support the Program Manager in the planning of content and engaging audiences for annual signature events like CEO Summit, the Women’s Summit, and the Rock Health Summit. As the Program Associate develops on the role, the Program Associate will demonstrate the passion and proactive nature to individually spearhead co-hosted marketing events, intimate dinners, and a variety of educational experiences for entrepreneurs, investors, and corporate innovators.

Skills and qualifications

You are:

  • A planner; you are well-versed in Google Docs (particularly sheets) and love tracking everything from budgets (large and small) to RSVPs to yearly calendars
  • Adept at managing multiple projects with competing deadlines, and prioritizing your time to get things done while remaining zen when things get hectic
  • A self-starter; you intuit what comes next and proactively tackle a project while thinking five steps ahead
  • Detail oriented. You know what questions to ask when and can spot a typo a mile away
  • A skilled communicator; you’re comfortable writing professional emails, witty blog posts, thorough contracts, and speaking about Rock Health
  • An avid learner. You care deeply about solving real problems in healthcare and are excited to get your hands dirty to do so
  • A connecter and problem-solver. You care about creating learning environments and love to spend time thinking about creative ways to reimagine content so that each event is new and engaging
  • Persistent! Nothing can stop you from finding your way to securing a big-shot speaker, negotiating an affordable exhibiting price for startups, or figuring out how to build that WordPress widget…
  • You have a Bachelor’s degree and relevant work experience

Responsibilities

Assist with Program Creation
Assist with the planning, content creation, and execution of Rock Health’s events with focus on:

  • Work with the Rock Health Program Manager and the Rock Health team to refine content and develop engaging event sessions, including writing session goals, titles, descriptions, and content outlines
  • Manage event budgets
  • Conduct outreach to speakers and moderators; facilitate planning calls and pre-event support
  • Secure collateral for events including giveaways for the conference from various sponsors or vendors
  • Oversee content creation and dissemination of marketing campaigns

Program Partnerships

  • Assist the Program Manager in identifying, building, and managing relationships with sponsors.
  • Take ownership of key sponsor relationships where possible
  • Facilitate sponsor representatives’ needs during events
  • Liaise with key event sponsors prior to and during events
  • Follow invoicing and A/R protocol, ensuring timely payment
  • Create and distribute sponsor review following events

Event Planning

  • Work with the Program Manager to conceive content and develop engaging event sessions, including writing session titles and descriptions
  • Conduct outreach to speakers and moderators; facilitate planning calls and pre-event support
  • Identify and communicate with vendors (venues, caterers, printers, etc.) to ensure that all Rock Health events are on-brand, high-quality, and within budget
  • Secure giveaways for the conference from various sponsors and vendors
  • Conduct attendee and registration management, helping to oversee the Eventbrite, answering questions and supporting sponsors, speakers, and attendees with registration

  • Top 50 in Digital Health & JPM Party (January)
  • CEO Summit (March)
  • Rock Health Women’s Summit (May)
  • Rock Health Summit (October)

Other duties as assigned.
